Fix what's blocking your payroll

Find what's blocking payroll on Home, Pay, or a draft payroll, see who can fix each item, and clear it or remove a worker.

A red card appears when something stops payroll from running or a draft payroll from being approved. Each row says what to fix and who can fix it.

The "Payroll is blocked" card on Home and Pay

  1. Open Home or Pay. Home shows your setup tasks instead of this card while you still have setup tasks to finish.

  2. Find the "Payroll is blocked" card. It says how many issues need attention, for example "1 issue needs attention. Fix it so payroll can run." Click the title to close or open the list.

  3. Rows under your company name say who can fix them: "You can fix" or "Our support team can fix". A row with no label is a failed payment that is being retried, and it needs nothing from you.

  4. Click the button on a row to fix it.

What the rows mean:

  • "A failed payment needs to clear": a payroll debit or tax payment failed. Click "Fix failed payment" to open it on Payments. If the row says the payment is "waiting on your wire", click "View wire instructions". If it says the payment "was retried by ACH", payroll can run again about 2 to 3 business days after the retry and you don't need to do anything. If it says "Contact support and we'll help you fix it", click "Contact support". More on failed payments: View and manage payments.

  • "We can't draw from your bank account": your bank turned off Freedom's access to the account that funds payroll. Click "Go to bank account", then click "Reconnect" on the account and select it again when your bank asks which accounts to share (see Set up your company bank account). Or make another account the default (see Change the bank account that funds payroll).

  • "Connect your company bank account", "Verify your company bank account", or "Authorize payroll debits": click the button on the row to open Bank Accounts. See Set up your company bank account.

  • "Add your company tax details" or "Sign your filing authorization": the row names what is missing or still to sign. Click "Complete tax setup" (see Complete your company tax setup) or "Sign authorization forms" (see Authorize Freedom to file your taxes).

The "This payroll can't be approved yet" card on a draft payroll

This card lists company items, such as a failed payment, a bank account Freedom can't draw from, or missing tax setup, plus any worker who hasn't finished setup. While it shows, "Approve payroll" is off and the page says "Resolve the issue above to approve."

  1. Open Pay, then open the draft payroll. The card is above the payroll steps and on "Review & approve". Click its title to open the list.

  2. Under "People", each worker is tagged "Employee" or "Contractor", and their missing items are grouped by who can fix them. Under "You can fix", click an item to add the missing information on the worker's page, which opens in a new tab. Under "Only [worker name] can fix", click "Send setup link" to get a link you can copy and send to them (it works for 24 hours), so they can finish setup themselves. "Being verified" needs no action.

  3. Come back to the payroll tab. The card says "This list updates when you come back to this tab."

  4. To pay everyone else on time instead of waiting, click "Remove from payroll" next to the worker on "Review & approve", then confirm. Their earnings on this payroll are deleted and everyone else stays on it. After their setup is done, you can pay them in an off-cycle payroll. On earlier steps, clear their checkbox in "Who's getting paid" instead.

  5. When the card is gone, click "Approve payroll".

Two more rows can appear on a draft payroll:

  • "We no longer have access to the bank account this payroll draws from": pick a different account under "Funding option" in "Payroll details" (see Change the bank account that funds payroll), or reconnect this one on Bank Accounts.

  • If "Approve payroll" doesn't go through and the row says "This payroll is over a funding limit on your account.", click "Contact support" and ask about funding by wire (see Fund payroll by wire transfer).

Note: For the steps to finish a worker's setup, see Finish a worker's onboarding.
