Finish a worker's onboarding

Fix what's missing on a worker's profile, send them a setup link for the rest, and invite everyone still onboarding from People.

Fix what's missing on a worker's profile

  1. Go to People from the sidebar and click the worker's name.

  2. Read the banner above the tabs. "[Name] can't be included in any payroll yet" means something is blocking payroll. "Finish setting up [Name]" means the remaining items don't block payroll but may delay payment. When every item is done, no banner appears.

  3. Under "You can fix", click an item, for example "Date of birth not provided". The Details tab opens with that field ready to edit.

  4. Enter the value, click "Save Changes", then click "Yes, Save Changes" in the confirmation window. Repeat for the other items.

The banner groups what's left by who can fix it:

  • "You can fix": items you can enter yourself, such as date of birth, home address, Social Security number, start date, workplaces, and payment method. A missing start date adds "Regular payrolls won't include [Name] until a start date is set." An "Employee Tax Setup" item opens the Tax Setup tab instead of the Details tab.

  • "Only [Name] can fix": items only the worker can enter, such as a bank account or tax withholdings. This group has the "Send setup link" button.

  • "Being verified": items already submitted and under review, such as a Social Security number or bank account. "No action needed. This clears once verification finishes."

Note: If another field is already open when you click an item, Freedom asks you to save or cancel it first. To collapse the banner, use the arrow button at the right of its title.

Send a worker a setup link

Some items only the worker can finish, such as adding a bank account or tax withholdings. A setup link lets them do it in their browser without signing in to Freedom.

  1. On the worker's profile, find the "Only [Name] can fix" group in the banner and click "Send setup link".

  2. In the "Setup link" window, wait for the result. Freedom emails the link to the address on file and shows "We emailed the setup link to" that address.

  3. To send the link yourself, click "Copy" and paste it into your own message.

Note: If the worker has no email on file, or the email can't be sent, the window says so. Click "Copy" and send the link to the worker another way. Anyone with the link can open it without signing in, so send it only to them. The link is valid for 24 hours. After that, you can generate a new one. You can also generate a link from the People list. See Send a self-serve setup link.

Follow up with everyone who is still onboarding

  1. Open the Onboarding tab on People.

  2. The tab lists employees and contractors who haven't been terminated, filtered to an Onboarding status of "Needs Attention" or "Blocking". "Blocking" means payrolls can't include the worker until their steps are complete. Change the "Onboarding" filter to include "Completed" to see everyone.

  3. In the Onboarding column, hover over or click a worker's status to see the steps still open. Click "View Details" in that box to open their profile and use the banner.

  4. Check the Invite column to see who has a Freedom login. Invite your team to log in explains each status.

  5. To invite everyone who hasn't been invited or whose invitation expired, click the invite button above the table, for example "Invite 3 people" (the number matches your list). Check the names in the "Invite 3 people to the app" window, then click "Send 3 invites".

Note: The button's count covers only the people in your current list, so searching or filtering changes who is invited. People who already have a login, have an invitation waiting, or have no email on file are left out, and the button doesn't appear when no one is left to invite. Freedom shows how many invitations went out, or "X of Y invitations sent. Z failed." if some didn't. To invite only some people, tick their rows and choose "Invite to app" from the "Actions" menu.
