Change the bank account that funds payroll

Make another bank account the default for payroll, or move one draft payroll to a different account.

Connecting a new bank account doesn't change which account funds payroll. New payrolls use the default account, so make the new account the default, then move any payrolls you already started. Freedom charges payroll fees to the default funding account, so fees follow the new default.

Make another account the default

  1. If the account isn't listed yet, add it first (see Set up your company bank account). A new account can be the default once its status shows "Verified". Until then its row says "Can't fund payroll yet". An account behind a "We're verifying" banner usually takes 1-2 business days.

  2. Open Bank Accounts in Settings.

  3. Click "Set as default" on the account you want to use. The current default has a "Default" badge.

  4. In the "Fund payroll from" dialog, a list headed "These payrolls still use [account name]" may appear. Draft payrolls in it are selected and will move to the new account. Clear the checkbox on any draft you want to leave where it is.

  5. If the dialog shows "I accept the Terms of Service.", select the checkbox.

  6. Click the confirm button. It reads "Set as default and switch" followed by the number of selected payrolls, for example "Set as default and switch 2 payrolls". If none are selected, it says "Set as default".

Note: The dialog doesn't move approved payrolls. Each one says "Reopen it by [date and time] to change its account." and has an "Open payroll" button that opens it in a new tab. Reopen it and change its funding option (see "Move one payroll to a different account" below).

A payroll that says "Can no longer be changed" stays on the old account. Payrolls already processing keep drawing from it.

Move one payroll to a different account

  1. Open Pay, then open the draft payroll.

  2. Click "Payroll details" in the progress steps at the top of the page. For a bonus, commission, or reimbursement, the step is called "Payment details".

  3. Under "Schedule & funding", open "Funding option" and choose the account. Your accounts are listed under "Bank debit", and the default is marked "Default account". The list also has "Wire transfer" (see Fund payroll by wire transfer).

  4. Click "Save & continue", then finish and approve the payroll.

Note: An approved payroll can't be edited until you reopen it. On Pay, it shows "Reopen until" with a date and time. Click "View payroll", then "Reopen payroll", and confirm in the "Reopen this payroll?" dialog. Then follow the steps above and approve the payroll again by the new deadline, so your workers are paid on time. If the page says "Approved payrolls can't be edited, and this one can't be reopened." or "Payrolls can't be edited once they start processing.", the payroll stays on its current account.

Remove the old account

  1. Click "Remove" on the old account, then click "Remove" in the confirmation.

"Remove" is greyed out on the default account: "You can't remove the default funding account. Add another account and make it the default first." If a payroll still draws from the account, you'll see "A payroll uses this account for funding." Remove it after that payroll is paid, or after you change the account the payroll uses. Removing your only account shows "Removing it will block payroll until you add another."
