View and manage an employee

Open an employee's profile to view and update their contact info, employment details, payment method, workplaces, and pay schedule.

  1. Go to People from the sidebar.

  2. Select the employee from the list to open their profile.

See an employee's profile

The Profile card shows the employee's name, whether they're active or inactive, how they're paid (Direct deposit or Manual check), their email, home address, and the last four digits of their Social Security number.

  1. To update their name, email, or home address, click "Edit" on the Profile card.

  2. Change the fields, then click "Save Changes".

  3. Review the summary of what changed, then click "Yes, Save Changes".

Note: Once an employee has signed in to Freedom, their email is managed through their own account and can't be changed from this card.

View and edit employment details

The Employment card shows the job title, employment type, start date, termination date, assigned workplaces, pay schedule, and whether W-2 electronic consent was provided.

  1. Click "Edit" on the Employment card.

  2. Update the job title, employment type, or start date.

  3. Click "Save Changes", review the changes, then click "Yes, Save Changes".

Note: You can edit one card at a time — the other Edit buttons stay disabled until you save or cancel.

Set the employee's payment method

The payment method sets how the employee receives their pay: by direct deposit or by a manual check you issue yourself.

  1. Click "Edit" on the Employment card.

  2. Under "Payment Method Preference", choose Direct deposit or Manual check.

  3. Click "Save Changes" and confirm.

Record W-2 electronic consent

If an employee has agreed to receive their W-2 electronically instead of on paper, record it on their profile.

  1. Click "Edit" on the Employment card.

  2. Tick "Provided W2 Electronic Consent".

  3. Click "Save Changes" and confirm.

Assign workplaces and a primary workplace

  1. Click "Edit" on the Employment card.

  2. Under "Workplaces", add each workplace the employee works from. Remove one with the X next to its name.

  3. Choose the "Primary workplace" from the workplaces you've added.

  4. Click "Save Changes" and confirm.

Note: Workplaces come from your company's Workplaces list. If a workplace has been deactivated, you'll be asked to remove it and pick an active one before saving.

Assign or change the pay schedule

  1. Click "Edit" on the Employment card.

  2. Under "Pay schedule", choose the schedule this employee should be paid on.

  3. Click "Save Changes" and confirm.

Note: Changing a pay schedule does not move the employee's pay amounts. Review and re-enter the correct amounts for the new schedule, especially when its pay frequency is different from the old one.

Check onboarding progress

The Onboarding card shows where the employee stands: Completed, Needs Attention, or Blocking.

  • Blocking items must be finished before the employee can be included in a payroll.

  • Needs attention items won't keep them off payroll but may delay their payment — clear them as soon as you can.

When nothing is outstanding, the card reads "All onboarding steps are complete."

Move between people, and open a matching contractor record

  • Use "Previous" and "Next" at the top of the page to move to another person without going back to the list. A position indicator (for example, "3 of 12") shows where you are.

  • If the same person is also set up as a contractor, a banner appears at the top — click "View contractor record" to open their contractor profile.

  • Click "Back to People" to return to the full team list.

Note: The tabs across the top of the profile — Paystubs, Tax Documents, Withholdings, Tax Setup, Benefits, and Post-Tax Deductions — hold the rest of this employee's records.
