An external admin manages your company in Freedom but isn't an employee or contractor you pay, such as a CPA or bookkeeper. They get the Admin role, which can manage payroll, people, and company settings. To give an employee or contractor admin access instead, change their role in the Role column on People. See Invite your team to log in.
Add an external admin
Go to People from the sidebar.
Click "Add person" at the top of the page, then choose "Add external admin".
Enter their email address, first name, and last name. All three are required.
Click "Send invitation".
Note: Freedom emails the invitation and shows "Admin invitation sent to" their address. They appear on the External admins tab as "Invitation pending" until they accept. See Accept your invitation and sign in for the first time for what they do next.
Resend an invitation
The External admins tab has no Resend button. You resend from the "Add external admin" window instead.
Go to People from the sidebar.
Click "Add person", then choose "Add external admin".
Enter the same email address, plus their first and last name, and click "Send invitation". This doesn't send another email. Instead, the window shows a notice such as "An invitation for [email] is already pending. You can send it again."
Click "Resend invitation". Freedom emails a new invitation with the Admin role and confirms it with "Invitation sent again to" their address.
The "Add external admin" window also covers these cases:
If the invitation expired, it says "The invitation for [email] has expired. Send a new one." Click "Resend invitation".
If the invitation was revoked, it says "Send a new one to restore access." Click "Resend invitation".
If the person already has admin access, it says "No new invitation is needed."
If the person already has an account with basic access, click "Promote to admin" to give them admin access.
If the person already accepted and their account is still being set up, wait a few minutes and try again.
See who has access
Open the External admins tab on People. It lists each person's first name, last name, email, and status. "Active" means they accepted. "Invitation pending" and "Invitation expired" mean they haven't accepted yet. "Invitation revoked" means the invitation no longer works, and you can resend it. The name columns show a dash until the person accepts. Admins who are also employees or contractors appear on the All Workers tab with their role instead.
Cancel an invitation or remove an external admin
Open the External admins tab on People.
Find the person. At the end of their row, click the trash can button for an "Active" admin, or the X button for an invitation that hasn't been accepted.
In the confirmation window, click "Remove admin" or "Cancel invitation". To close the window without canceling an invitation, click "Back".
Note: A removed admin loses access to your company in Freedom, and you can invite them again later. Freedom shows "Admin removed" or "Invitation canceled", and the person leaves the tab. Your own row has no remove button. To take admin access from an employee or contractor, change their role to Basic in the Role column on the All Workers tab.
