Open the draft payroll from Pay, then click "Employee earnings" in the progress bar at the top. On a new payroll, click "Save & continue" until you reach it.
Click "Import CSV" at the top of the step.
In the "Import earnings from CSV" box, click "Download earnings as CSV". The file is called employee-earnings.csv and has a row for each employee, filled in with what is on screen.
Open the file in your spreadsheet app, enter hours and amounts, and save it as a CSV. Keep the column headers as they are.
Drag the file onto the box, or click the box to browse for it.
Under "Review before importing", check the changes listed for each employee. Any row that can't be imported is listed with the reason.
Click "Apply". The numbers fill in on the page, but nothing is saved yet.
Click "Save" or "Save & continue" to keep them.
Fill in the employee sheet
Employee ID: Leave it as it is. Freedom uses it to match each row to an employee. You can only update employees who are already on this payroll.
Earning columns: There is an Hours column, an Amount column, or both for each earning type, such as Regular Hours, Regular Amount, or Bonus Amount. There is also a Reimbursement column.
Hours: A number with up to four decimals, like 12.5 or 12.25.
Amount and Reimbursement: Dollars, with a period before the cents, like 1250.00 or $1,250.00.
Hours or Amount: For earnings paid at an hourly rate or a yearly salary, such as Regular, Hourly, or Salary, you can change either one. If you change the Amount, Freedom uses it and works out the hours from the employee's rate. For earnings paid at a piece rate, Freedom works out the pay, so change the Hours and leave the Amount alone. Earnings with no rate, such as Bonus or Commission, have an Amount only.
A second earning of the same type: Copy the employee's row, including the Employee ID. Clear every Hours, Amount, and Reimbursement value in the copy, then enter the new figure in the column for that earning. For a second bonus, that is Bonus Amount. Any figure you leave in the copy becomes another earning.
Removing an earning: Clear its Hours and Amount. If you delete all of an employee's rows, their earnings don't change.
Import contractor payments
Click "Contractor payments" in the progress bar at the top.
Click "Import CSV", then "Download this table as CSV". The file is called contractor-payments.csv.
Fill in Hours, Rate, Amount, and Reimbursement, then save the file as a CSV. Leave Contractor ID as it is. Hours can have up to two decimals. Rate, Amount, and Reimbursement are dollars, like 1250.00 or $1,250.00.
Upload the file in the "Import payments from CSV" box, check the changes under "Review before importing", then click "Apply to table".
Click "Save" or "Save & continue".
Note: Deleting a line from the file doesn't remove that contractor from the payroll. Their values stay as they are.
If rows are skipped or the file won't load
"No employee on this payroll matches that ID or name" (or "no contractor"): The person isn't on the payroll. Add them with "Add employee" or "Add contractor" on the step, then download a new sheet.
"A number is in the wrong format": Use 1250.00, not 1.250,00.
"This earning is calculated from the employee's rate, so change its Hours, not its Amount": The earning is paid at a piece rate. Change its Hours and leave its Amount as it was.
"We couldn't read any rows from that file" or "That file has no Employee ID column": Upload the CSV you downloaded, with its headers unchanged.
"This file matches the earnings on screen": The file has no changes to import.
Note: You won't see "Import CSV" on an approved payroll, when the step has no employees or contractors yet, or on payments started with "Pay bonuses", "Pay commission", or "Pay reimbursements". See Pay a bonus, commission, or reimbursement for those.
