Update a state tax rate, tax ID, or deposit schedule

Change a tax account number, unemployment rate, or deposit schedule in Company Tax Setup when an agency sends you a new one.

Agencies send you new tax account numbers, rates, and deposit schedules. The most common one is the yearly unemployment tax rate notice. Enter each new value as soon as you get it so your payrolls and filings use it.

  1. Open "Federal taxes" or the state the value belongs to.

  2. Select the value you want to change, for example the unemployment insurance rate or the withholding deposit frequency. A window opens.

  3. Enter the new value exactly as it appears on the agency's letter. The window shows the accepted format and any minimum or maximum.

  4. Click "Save Changes".

When the new value takes effect

  • You don't choose the date. It depends on the type of value.

  • Some values can only start on the first day of a quarter or a calendar year.

  • The "Effective dates" list in the same window shows each value and its dates, marked "In effect" or "Scheduled". After you save, the row keeps showing your current value until the new one starts. If no value was in effect before, the row shows the new value followed by "scheduled".

If you can't save the value

  • If you can't save a value the agency gave you, click "Contact support" in the window where you enter the value. Your value is sent to us. We submit it for you and follow up by email.

  • "This value can't be changed here": contact support to update it, in the app chat or at [email protected].

  • "The agency didn't recognize this account number": check it against your registration paperwork. If it matches, contact support.

What the statuses mean

  • "Still needed": Freedom needs this value to file. Enter it.

  • "Not set": optional, or not needed yet. Leave it unless an agency gave you a value.

  • "Default": no value is entered, so the standard value shown applies until you set one.

  • "Applied for, not yet received": you told us you applied and are waiting for the agency. We can't file for that agency until you enter the number.
