Change your company's pay frequency

Switch to a different pay frequency by creating a new pay schedule and moving your team onto it.

Your pay frequency is how often you run payroll: Weekly, Every two weeks, Twice a month, Monthly, Quarterly, or Annually. To move your team from one frequency to another, create a new pay schedule with the frequency you want and reassign your workers to it. A pay schedule that has already been used by a payroll can't have its frequency edited, so switching frequencies is done by creating a new schedule rather than changing the old one.

Before you start

  • Decide the new frequency and the first payday and first pay period end date you want on the new schedule.

  • Approve any payroll in progress on the old schedule before you move your team. If one is still open when you move someone, see the note below.

  • Changing frequency changes the size and timing of each paycheck. Let your team know when their next payday will fall on the new schedule.

Create the new pay schedule

  1. Open Pay Schedules from Pay in the sidebar.

  2. Select Add pay schedule.

  3. In Schedule name, enter a name that makes the new frequency clear (for example, "Biweekly").

  4. Choose the new frequency from Pay frequency: Weekly, Every two weeks, Twice a month, Monthly, Quarterly, or Annually.

  5. Set First payday, then set First pay period end to the last day of the first pay period on the new schedule.

  6. If you chose Twice a month, set the Second payday as well.

  7. Select Add pay schedule to save.

Move your team to the new schedule

  1. On Pay Schedules, select Assign workers on the new schedule.

  2. Select Add workers, then choose All employees or All contractors to move everyone at once, or search for people and select them one at a time. All unassigned adds only people who aren't on a schedule yet.

  3. Anyone already on your old schedule shows a from [schedule] tag, so you can confirm you're moving the right people.

  4. Select Save changes and review the summary, including the "Review pay after moving" warning.

  5. Confirm to apply. Everyone you moved is paid on the new frequency going forward.

Note: Freedom adds a worker who had no pay schedule to the new schedule's payroll the next morning if they're eligible. For a worker you move from another schedule, Freedom takes them off the old schedule's payroll and adds them to the new one only if each payroll's pay period hasn't started (a payroll shows its pay period dates) and you haven't edited their pay on the old one. Otherwise, remove them from the old payroll or add them to the new one yourself. You may also need an off-cycle payroll to cover any gap, and if you use Autopay, you'll need to approve the affected payroll yourself. See What auto-fills on your payroll.

Make the new schedule the default

The schedule marked Default payroll is the one pre-selected when you add an employee or contractor. If your old schedule has that badge, it stays there when you move your team, so new hires start on the old frequency until you change it.

  1. On Pay Schedules, open the three-dot menu on the new schedule's row.

  2. Select Make default.

Clean up the old schedule

  • Leave the old schedule in place. A schedule that any payroll has used can't be deleted, and its menu item reads Rename.

  • You can delete a schedule only if no payroll has ever used it. To delete it, open the three-dot menu on its row, select Edit pay schedule, then Delete pay schedule and confirm.
