Handle a tax notice from an agency

Send any letter from the IRS or a state or local tax agency to Freedom support so we can work out what it needs.

Tax agencies mail notices to you. We don't see a notice until you send it to us. Most notices have a reply deadline, so send it as soon as it arrives. A letter that only gives you a new rate, account number, or deposit schedule is the exception. See "Notices that are not a problem" below.

  1. Scan or photograph every page of the notice, front and back.

  2. Send it to us in the support chat in the app, or email it to [email protected].

  3. Tell us the date you received it, and whether you have already replied to the agency or paid anything.

  4. Wait for our reply before you pay or respond. We check the notice against the returns and payments Freedom made for you and tell you what happens next.

What you can check while you wait

  • Open Company Tax Setup and compare the account number and tax rate for that agency with the ones printed on the notice. To correct one, see "Update a state tax rate, tax ID, or deposit schedule".

  • Open Tax Filings and look at the "Action required" tab. A blocked filing is one we can't send until something is fixed. One for the same agency and period is often the cause. Open it, do what it asks, and tell us in your message.

  • Open Filing Authorization and finish any step that is still open. This is your permission for Freedom to file and pay taxes for you.

When the agency needs you to give Freedom access

Some agencies only talk to us after you give Freedom third-party access to your account. If that applies, we tell you which agency and what to do. The steps are in "Give Freedom access to your state tax accounts".

Notices that are not a problem

A letter that only gives you a new tax rate, a new account number, or a new deposit schedule needs no reply. Enter the new value in Company Tax Setup. If you can't save it there, click "Contact support" in the window where you enter the value.

Note: A notice about a period before you moved to Freedom usually belongs to your previous payroll provider. Send it to us anyway and we'll tell you who should handle it.
