Give Freedom access to your OnPay account

Invite [email protected] as an Outside Collaborator in OnPay so Freedom can transfer your team, pay history, and tax documents.

To move your payroll into Freedom, our team needs admin-level access to your OnPay account: your team, pay history, and tax documents. You do this by inviting our setup mailbox as an Outside Collaborator. Freedom never asks for your OnPay password.

  1. Sign in to OnPay and go to "Company", then "My Company".

  2. Scroll down to "Company Users" and click the arrow to expand the section.

  3. In the "Outside Collaborators" section, click the blue "(+)" button.

  4. Set "Relationship" to "Accountant/Bookkeeper", then enter first name "Freedom", last name "Setup", and email address [email protected].

  5. Enter your own OnPay password when prompted. OnPay uses it to confirm you are allowed to add users; it stays with OnPay.

  6. Click "Invite". OnPay emails [email protected] to let us know we have been added, and Freedom Setup appears under "Outside Collaborators".

  7. Leave the permission switches next to Freedom Setup as they are. Outside Collaborators can already view your employees and all reports, which is all we need.

  8. Back in Freedom, open Transfer access to Freedom and check both boxes under "Done in OnPay?" to confirm you added the user and gave it the role, then click "Confirm access granted in OnPay".

Note: Confirming tells our team to start transferring your data, and we will email you when it is in Freedom. If the menus look different or you would rather not add a user, click "Email us instead" on the Transfer access to Freedom page in Freedom and we will arrange the transfer with you.
